Spring Pond Homeowners Association Monthly Board Meeting
May 8, 2017
President Sally LeMon called the meeting to order. All Board members were present.
Secretary's Report was previously distributed and was accepted with no corrections or additions.
Treasurer's Report was presented by Anita Haskell. This very comprehensive report, which included a Year End 2017 Projected Budget, 2017/2018 Projected Budget, and a draft of the Capital Budget through the fiscal year 2025/2026 was appreciated. Financial reports are on file. Motion to accept was made by Bet Kaplan and seconded by Jane Laughton.
Architecture Committee
Beth Kaplan presented Chairman Diane Kaplan's proposal for "two white privacy fences to be installed in the spring of 2017". The fences to be installed would be located between numbers 11 and 17 on Ruch Lane. A motion was made by Beth Kaplan and seconded by Ernie Wheeler to approve the request. A copy if the Architectural Committee proposal attached.
By-Laws Committee
Beth Kaplan, Chairman of the Committee will make certain that all homes owners receive copies of the RULES AND REGULATIONS and COVENANTS and the accompanying sheet which describes the proposed changes.
Election Committee
A copy of the Proxy Form from Sally Hudgins is included for file. Sally Hudgins will put together an Annual Meeting packet for residents. The packet will include: financial information, agenda, Rules of the Road, Estate Sales, list of Committees and an emergency number form.
Landscaping Committee
Gerry Rainforth, Chairman of the Committee met with Matt Brillon regarding the trees on our property. The report of that meeting is attached.
Maintenance Committee
Maintenance was completed on the walkway depression at number 12 Ruch Lan on 5/5/17. The cost of this repair was $1,350.
Social Committee
Pot Luck Supper! Monday, Memorial Day evening, May 29th.
Old Business
Three Candidates are on the election ballot for 2017. Please vote and make sure that Janice Schlapak receives your vote by Wednesday, May 24th 2017.
New Business
Anita Haskell proposed that an ad hoc committee be appointed to survey the roads and driveways for conditional issues and obtain professional advice on the cost and timing of any work needed. Also suggested was the need for a specific time frame for the committee to perform this task. The information gathered would be included in our Long Range Plan. The Board agreed that we would move forward with this proposal.
Discussion took place regarding the sending of a letter to Joe Sevick's son expressing our condolences again and citing our Declaration of Covenants, Conditions and Restrictions regarding satellite dishes on our homes here. The letter is attached. Motion was made by Ernie Wheeler and seconded by Sally LeMon to mail the letter.
The Town of York conducted a walk-through inspection of our Club House renovation and gave us their stamp of approval.
Residents are reminded to phone DIG SAFE (811) before digging to avoid damage to service lines.
