September Board Meeting Minutes

                                                    SPEHOA MONTHLY BOARD MEETING

                                                                  SEPTEMBER 12, 2019



President Rainforth called the meeting to order at 6:30 PM with all Board members in attendance.

Recording Secretary Rotsko’s August minutes were reviewed and accepted as written with all in
favor (Minutes on File).

Treasurer Strazzere noted the landscaping expenses for the months of July and August were under budget due to the limited landscaping services performed during both months. He also reported he was able to transfer the usual $1740 into our reserve account. Motion to accept report made by Sally LeMon, seconded by Jane Laughton. Motion passed (Treasurer’s Report on File).

Architecture Committee Member Sally Hudgins suggested adding an additional volunteer to the committee and offered to canvas for perspective volunteers.

By-Law Committee Chairperson Sally Hudgins reported the By-Law Committee will be meeting on September 24th.  At that time it will be determined which by-laws can be revised and which cannot due State Mandates.

Landscaping Chairperson Sally LeMon reviewed the activities that had occurred during the month of July with some discussion regarding the emergency exit Right of Way. It was noted that it is more cost efficient not to maintain this area on a regular basis with the understanding that the exit would still be kept fully accessible for any and all emergency vehicles.

Sally LeMon also noted that it is the responsibility of the individual home owners to maintain the gardens, trees and bushes, including arborvitae(s) that are located on their properties. Responsibility for the removal of this debris was not discussed.

Joe Strazzere expressed his concern as to how our landscaping service would know which areas would not be their responsibility. Sally LeMon said she would be contacting John Patten in the near future to discuss that determination with him.

Sally LeMon also expressed her concern about the lack of notable improvement from the services performed by Mainely Grass regarding the removal of crab grass and weeds. She suggested we look into other vendors who might perform this service more successfully. Jane Laughton made a motion to research other options, seconded by Sally Hudgins. Motion passed.

Chairperson Lee Page noted he continues to monitor the street light located by the entrance of Styles Lane. He also discussed with the Board the importance of maintaining the heating system in the Community Center which also services the two units located above and that the filters should be replaced periodically.

President Rainforth reported on behalf of Social Committee Chairperson Nancy Winograd that the Labor Day Pot Luck Dinner was very successful and that great fun was had by all.

Sally LeMon noted the Sunshine Club is much appreciated and that Janice Schlapak is doing a great job.

Under New Business Sally LeMon discussed with the Board the possibility of installing a better lighting system by the side of the Community Center. Lee Page said he would research different options, such as solar lighting or installing an additional motion sensor light.

Under Old Business President Rainforth updated the Board regarding the dog barking issue. She notedthat the Kaplan family has been making a concerted effort to comply with the wishes of the Board. Members of the Board were all in agreement that these efforts appear to be working and are greatly appreciated.

Motion to adjourn was made by Sally Hudgins, seconded by Joe Strazzere.

Monthly Board Meetings are held in the Community Center on the second Monday of each month at 6:30 PM.

The next meeting is Monday, September 9, 2019.
