October Board Meeting Minutes

                                         SPEHOA MONTHLY BOARD MEETING MINUTES

                                                            OCTOBER 11, 2021

              

PRESIDENT - President Bill Bannister called the meeting to order at 6:30 PM with all Board Members in attendance.

RECORDING SECRETARY - After review of the September 13th minutes, Treasurer Strazzere made a motion to accept the minutes as written, seconded by Board Member Lee Page. Motion passed. (Minutes on file for review).

TREASURER - Treasurer Strazzere reported that the September expenses were over budget due to extensive landscaping costs.  He anticipated that the October expenses would also be over budget based on the additional bills he had received from Patten Landscaping covering pruning, trimming and brush clearing.  He also noted we still remain in financial good standing. Motion to accept the report was made by Board Member Lee Page, seconded by Vice President Bob Milbury. Motion passed. (Detailed Treasurer’s report on file for review).

BY-LAWS/COVENANTS COMMITTEE - President Bannister reported he will be meeting with Attorney  Jeffrey Clark of York, ME on Thursday, October 14th to review the Association By-Laws/Covenants revisions and updates.  By-Law Committee Chairperson Sally Hudgins will also be in attendance, along with Treasurer Strazzere.

LANDSCAPING COMMITTEE - Chairperson Jane Brown and Co-chair Joy Dalley reported on several issues, including the need for the pruning and trimming of several trees and recommended Lee’s Tree Service as best equipped to complete the project. 

In addition, there was some discussion about the possibility of ending our contract with Mainely Grass and instead utilizing another company that may be better suited to perform our seasonal chemical treatments and applications. They will continue their research and report their findings at our next meeting, along with their recommendation as to which lawn maintenance company they believe would be most cost effective and beneficial to our particular needs. 

MAINTENANCE COMMITTEE - Chairperson Lee Page reported on several key repairs that have been completed, including resolving the drainage issue located at 11 and 15 Ruch Lane. (Detailed report on file for review)

SPECIAL SOCIAL EVENT - All Board Members were in agreement that the recent spaghetti dinner generously hosted by Deb and Joe Strazzere was overwhelmingly successful, delicious and much appreciated by their friends and neighbors.

NEW BUSINESS - Landscaping Co-Chair Joy Dalley proposed the Association consider contracting the services of  a structural engineer to perform a Professional Reserve Study for the purpose of reviewing the current physical condition of the Spring Pond Estates premises. It was noted that taking this type of action now would in turn be helpful in obtaining preventative maintenance suggestions and possibly avoid any costly future repairs. The Board was in total agreement and Co-Chair Dalley offered to further research the subject. 

Motion to adjourn meeting made by Board Member Page, seconded by Treasurer Strazzere.  Meeting adjourned at 7:07 PM.

Rainmaker Fall Shutdown

Rainmaker Irrigation will be closing down our Spring Pond Estates sprinkler systems.

Work will begin on Wednesday, October 13th at 8:00 AM.

Please be sure to allow technician accessibility to your irrigation system control box.
