November Board Meeting Minutes

Spring Pond Estates Homeowners Association
Monthly Board Meeting
November 12, 2018


President Rainforth called the meeting to order at 6:30 PM with all board members in attendance.

SECRETARY’S REPORT

Secretary Rotsko asked if there were any questions or revisions regarding the October minutes at which point a motion was made to accept minutes by Vice President Kaplan, seconded by Board Member Nancy Winograd with all in favor.

TREASURER’S REPORT

Treasurer Strazzere presented his report. He noted Patten Lawncare was paid $8,775 in October bringing us over budget for the year in the category of Lawn/Grounds/Trees.

Since this category is our single largest expenditure, Treasurer Strazzere recommended we
examine the possibility of increasing the budget to allow ample coverage for next year.

He also noted that $6,000 had been transferred from our reserves into our checking account in order to ensure we have sufficient funds on hand to cover our October expenses as well as the upcoming expenses for November (Details of Treasurer’s report on file for review).

A motion was made to accept report by Vice President Kaplan, seconded by Board Member Jane Laughton with all in favor.

LANDSCAPING COMMITTEE

Chairperson Rainforth reported that Mainely Grass had completed their final service visit for 2018 which included Fall fertilization, lime application and trimming our trees and bushes.

She noted the ongoing drainage issue between 28 Spring Pond Circle and 4 Ruch Lane was repaired on October 19, 2018.

She also reported that Patten Lawn Care will be back on track for Spring of 2019 with a full crew.

A motion was made to accept report by Board Member Nancy Winograd, seconded by Vice President Kaplan with all in favor (Details of Landscaping Report on file for review)

MAINTENANCE COMMITTEE

Chairperson Page installed LED bulbs around the Club House. He also noted the least expensive solution for ice buildup along down spouts would be to use ice melt at those areas.

There was also some discussion on how to improve the lighting along the darker areas of our complex and it was suggested that, during the Winter season, the existing solar lights be replaced with tall post reflectors.

PLOWING COMMITTEE

Chairperson Laughton will be contacting John Patten regarding details for the upcoming snowplowing season.

SOCIAL COMMITTEE

Chairperson Winograd announced that the notices had been posted for our Annual Holiday
Party which will be held on Sunday, December 9th at 6:30 PM.  Included in the festivities will be a Yankee Swap along with a Pot Luck Dinner.  All members of the SPEHOA are invited to attend.

OLD BUSINESS

Chairman Rainforth re-addressed the issue of replacing a tree near Chairperson Page’s residence for the purpose of sound control stating the subject will be tabled for the time being.

NEW BUSINESS

Treasurer Strazzere brought to the Board’s attention that he received a $99 bill from D. F. Richard for heating repairs performed at the Club House. Since there are three separate heating zones in the same building, we will need to determine who will be responsible for payment.

President Rainforth announced that the monthly board meetings will be suspended until March of 2019 with the understanding that she would schedule a meeting beforehand if necessary.

October Board Meeting Minutes

Monthly Board Meeting

October 8, 2018


President Rainforth called the monthly board meeting to order at 6:30 PM.  All members of the board were present.

SECRETARY’S REPORT

Secretary Rotsko asked if there were any comments or corrections on the October 8, 2018 monthly minutes.

A motion was made by Vice President Kaplan to accept the minutes, seconded by Frank McClellan with all in favor.

TREASURER’S REPORT

Treasurer Strazzere presented his report. He noted that Patten Lawn Care was paid $5500.00 in September with an outstanding balance of $8775.00 due in October.  This outstanding balance will place us over budget for the year.

He also explained that the Lawn/Ground/Tree Care category is our single highest expenditure and suggested looking into the possibility of increasing next year’s budget to cover these expenses in the future.

After a lengthily discussion, a motion was made by Vice President Kaplan to complete the remaining scheduled maintenance. The motion was seconded by Board Member Winograd with all in favor (Details of Treasurer’s Report on file for review).

AD-HOC COMMITTEE (2018-2019)

Committee member Bill Bannister presented to the board a very informative and detailed presentation relating to our ongoing issue concerning the chipmunk overpopulation.

He noted he had discussed the problem with several homeowners and compiled a list of several suggestions on how to resolve the problem.

Board Member Winograd suggested the issue be readdressed in the Spring with the board in agreement.

LANDSCAPING COMMITTEE

Chairperson Rainforth reported on the Mainely Grass application of Spring Insect and Disease Control on the trees and bushes. The project was completed on September 20th.

She also reported on Patten Lawncare regarding the pruning of our overgrown trees. The work was interrupted due to heavy rainfall. Fortunately, his crew was able to continue working in spite of the inclement weather.

Under an addendum, Chairperson Rainforth addressed the concerns regarding a dead tree that could fall and conceivably cause damage to the home located at 15 Ruch Lane.

She noted members of the Landscaping Committee inspected the situation first hand and in turn asked the board to vote on having the tree removed.

A motion was made by Vice President Kaplan to remove the tree, seconded by Board Member Winograd with all in favor.

Chairperson Rainforth also reported on her meeting with Proscape which included the mechanics of our irrigation system. (Details of Landscaping Report on file for review).

MAINTENANCE COMMITTEE

Chairperson Page reiterated on the drainage issue problem along 28 Spring Pond Circle. He repaired the water drain and said the water seemed to be running clearly at the present time. He suggested installing a French drain to help with future problems and added digging a culvert along the road would also be helpful.

President Rainforth said she will contact Patten Lawn Care come Spring for an estimate on the cost of this type of project.

SOCIAL COMMITTEE

Chairperson Winograd announced that the Annual Holiday Party has been scheduled for Sunday, December 9th beginning at 6:30 PM in our Community Center.  She hoped that all Spring Pond Estates homeowners will be able to attend.

NEW BUSINESS

Chairperson Page discussed a sound issue that has arisen as a result of the removal of a birch tree near his residence. He asked the board to consider replacing the tree to help curtail the noise. His request has been taken under advisement by the board.

Treasurer Strazzere reported that the York Water District had contacted him about reading the meter.  President Rainforth noted the information has already been forwarded.

Board Member Jane Laughton remarked on the excellent job our new cleaning person, Jan Anderson has been doing and that there was a noticeable improvement in our Community Center

Motion to adjourn was made by Vice President Kaplan, seconded by Board Member Laughton.  Meeting was adjourned at 7:30 PM.

September Board Meeting Minutes

Monthly Board Meeting

September 10, 2018


The monthly board meeting was called to order at 6:30 PM by President Rainforth.
Board Member Frank McClellan was not in attendance.

SECRETARY’S REPORT

Secretary Rotsko asked for comments and/or corrections regarding the August 13, 2018 minutes.  Motion was made by Board Member Jane Laughton to accept minutes, seconded by Vice President Beth Kaplan with all in favor.

TREASURER’S REPORT

Treasurer Strazzere presented his report. He noted the $9,156.00 expense listed under Patten Lawn Care was at a higher rate this month due to the consolidation of the previous month’s landscaping expense along with the invoice for the month of August. 

He also referenced a letter he received from John Patten in which John thanked the Association for their patience during his efforts to correct the scheduling issues he encountered during the Summer months and assured us we are back on a regular billing schedule. Motion to accept Treasurer’s report made by Board Member Nancy Winograd and seconded by Vice President Beth Kaplan. (Treasurer’s report on file for review)

AD-HOC COMMITTEE (2018-2019)

President Rainforth expressed the committee’s ongoing concern regarding the over population of chipmunks and the structural damage that has occurred. A remedy to this problem is still under discussion. 

LANDSCAPING COMMITTEE

Chairperson Rainforth reported that Mainely Grass has applied additional applications to help control the crab grass issue. She also noted that Proscape Irrigation will be checking the irrigation heads to make sure the systems are working properly.

Chairperson Rainforth submitted a newspaper article related to the difficulties that have arisen for businesses such as Patten Landscaping concerning the limitations they have encountered regarding the hiring of foreign seasonal labor workers. Motion to accept made by Vice President, seconded by Board Member Jane Laughton (Article and Landscaping Report on file for review)

MAINTENANCE COMMITTEE

Chairperson Lee Page discussed the drainage issue by 28 Spring Pond Circle and discussed several possible solutions. Due to the lack of proper equipment on hand he recommended hiring an outside service to perform the repairs.

Board Member Nancy Winograd suggested contacting Patten Landscaping Service to see if he, or someone he could refer us to, would be available to do the work.

SOCIAL COMMITTEE

Chairperson Nancy Winograd reported on the Labor Day Pot Luck Dinner stating it was a very successful event and the food and camaraderie was enjoyed by all in attendance. She noted plans for a Holiday gathering are in the planning stages with a specific date to be determined.

OLD BUSINESS

Arrangements are being finalized for the removal of a satellite dish located at 16 Spring Pond Circle.

President Rainforth reported the Association has hired Jan Anderson as the new cleaning person to maintain our Community Center.

NEW BUSINESS

President Rainforth reported on the meeting with Joe Anderson from the York Land Trust which included the annual monitoring walk of the common area abutting the Spring Pond subdivision. (Full report on file for review)

August Board Meeting Minutes

Monthly Board Meeting
August 13, 2018

The monthly board meeting was called to order at 6:30 PM by President Rainforth with all board members in attendance.

SECRETARY’S REPORT

Secretary Rotsko asked for comments and/or corrections regarding July 9, 2018 minutes.
Motion was made by Jane Laughton to accept minutes, seconded by Frank McClellan. Motion passed unanimously.

TREASURER’S REPORT 

Treasurer Strazzere presented his report noting all accounts had been successfully transferred in his name and thanked the board for their patience during the transition.

He presented the expenses for the month of July which were status quo. The bill in the amount of $3648.00 from Patten Lawn Care was not received in time for the August meeting and will be reflected in his August report. However, the bill in the amount of $1345.00 from Libby-Scott for driveway repairs was included in his report.

Board Member Nancy Winograd expressed her concern for the increased expense listed under Water & Sewer. Treasurer Strazzere explained the amount included the cost for maintaining the water hydrants.

Motion was made by Nancy Winograd to accept the Treasurer’s report, seconded by Beth Kaplan. Motion passed unanimously. (Treasurer’s full report on file for review)

LANDSCAPING COMMITTEE

Chairperson Rainforth discussed the challenges to our landscaping during the month of July due to high temperatures and numerous thunder and rain storms. She stated with the help of Mainely Grass the grass is finally starting to re-appear.  Mainely Grass will also be making a service call this week to apply additional chemicals at their expense.

Chairperson Rainforth also stated John Patten Lawn Care Service is finally getting current in their maintenance schedule and thanked his customers for their patience.

Motion was made by Beth Kaplan to accept report and seconded by Frank McClellan. Motion passed unanimously.  (Landscaping Committee full report on file for review)

MAINTENANCE COMMITTEE

Chairperson Lee Page reported on several items. He discussed the work he had completed at 11 Spring Pond Circle concerning the drainage issue. He also repaired the shed ramp and he installed weight bearing brackets on the wall bookshelf in the community center. He will also be reapplying weed killer along the emergency exit. SOCIAL COMMITTEE

Chairperson Nancy Winograd reported that there will be an Annual Labor Day Pot Luck Dinner at the Community Center on Monday, September 3rd at 6:30 PM with an open invitation to all Spring Pond Estates Homeowners.

NEW BUSINESS

In reference to storm draining issues, Chairperson Rainforth asked that a vote be taken by the Board allowing for two small repairs to be completed for the time being. Motion was made by Nancy Winograd, seconded by Beth Kaplan. Motion passed unanimously.

Chairperson Rainforth stated there would be a future walk-through at Spring Pond Estates
to determine where additional drainage repairs will be needed and at what cost.

President Rainforth and Treasurer Strazzere noted The York Land Trust has scheduled their annual boundary walk for Tuesday, August 14th @ 9:30 AM.

HOMEOWNER’S COMMENTS

In reference to the forthcoming repairs to the cable service at 6 Spring Pond Circle and the Cable Company and Dig Safe flags that were placed on the property of 8 Spring Pond Circle last May, Spectrum Cable Company has yet to determine when the repairs will be completed.

July Board Meeting Minutes

Spring Pond Estates Homeowners Association
Monthly Board Meeting
July 9, 2018


The monthly board meeting was called to order at 6:30 PM by President Rainforth.

Vice President Kaplan and Board Member Frank McClellan were not in attendance.


Secretary’s Report  
Secretary Rotsko asked for comments or corrections regarding minutes from the Special June 11th and Annual June 12th meetings . A motion to accept both was made by Nancy Winograd and seconded by Jane Laughton. Motions unanimously passed. (Note: Meeting minutes are available for review at the Community Center)

Treasurer’s Report 
Treasurer Strazzere presented his report for review listing expenses paid for the month. He explained that there had been a delay in gaining access to the People’s United Bank Website so he was unable to provide a more detailed report. He did however receive confirmation just prior to the meeting stating the transfer of authority had been completed.

Landscaping Committee
Chairperson Rainforth reviewed the revised Landscaping Work Plan and the July Landscaping Committee and Board Meeting reports. (Note: Reports in their entirety are on file at the Community Center).

Chairperson Rainforth stated the committee requested the Board vote in favor of cutting back the Forsythia Bushes to ground level to allow the Viburnum Bushes to spread and fill in. Motion made by Nancy Winograd,  seconded by Jane Laughton. Motion unanimously passed.

There was some discussion regarding a tree leaning toward 8 Ruch Lane with the concern for potential damage to the house. Chairperson Rainforth stated she would first contact John Patten and ask his professional opinion. Next step would be to research the buffer area to determine who would be responsible for the branch removal. Chairperson Page suggested locating the plot plan on line.

Maintenance Committee
Chairperson Lee Page reported on several items.  He discussed the ongoing concerns regarding the drainage problem in front of 11 Spring Pond Circle and that he plans to personally address the issue.

He reported that he had applied weed killer along the emergency exit perimeter and has added
shelving to the storage shed. He also plans to repair one of the shed doors. In addition,  he has also donated an electric snow blower which will be stored in the shed to help maintain accessibility around the Community Center.

Board Member Jane Laughton inquired about trimming fruit trees located at 14 & 16 Spring Pond Circle. She also expressed her concerns regarding winter and plow kill damage. After some discussion it was determined that these repairs should/would be addressed in the Fall.

Social Committee
Chairperson Nancy Winograd reported that there will be an Annual Labor Day Pot Luck Dinner to be held at the Community Center with an open invitation to all Spring Pond Estates Homeowners. A detailed notice will be posted at the Community Center closer to the event date.

Homeowner’s Input
It was noted that the numerous Cable Company and Dig Safe flags located at the cable unit and all along the front and side lawn at 8 Spring Pond Circle are to mark where the Cable Company will be digging and burying the cable wire in order to repair service for the homeowners located at 6 Spring Pond Circle. Date of repair is unknown at this time.

Motion to adjourn was made by Nancy Winograd and seconded by Jane Laughton. Meeting was adjourned at 7:20 PM.

Annual Meeting 2018 - Minutes

Spring Pond Homeowners Association
Annual Meeting
June 12, 2018 

The Annual meeting of the Spring Pond Homeowners Association was called to order by Gerry Rainforth, President after it was confirmed that a quorum had been attained-twenty three residences and four proxys.

Packets with all the pertinent information were given to all homeowners. Sign-up sheets were circulated for volunteers to participate on the numerous committees. Also, homeowners were asked to review the current telephone/address roster and correct or update information.

Gerry Rainforth, President welcomed all homeowners and thanked all the Committee Chairmen and the many volunteers who gave their time to help keep our association running smoothly. (List of all who participated on file).

Gerry also thanked her Board members for their dedication and time. Beth Kaplan, Vice President; Jane Laughton, Frank McClellan and Nancy Winograd. Anita Haskell, Treasurer and Sally Hudgins, Secretary were thanked for their volunteer time.

Secretary's Report
Secretary, Sally Hudgins read the minutes of the 2017-2018 annual meeting. No corrections or admissions were noted. Motion was made, seconded and accepted by all homeowners present. (Report on file)

Treasurer's Report
Treasurers report was presented by Anita Haskell. All reports were contained in each packet given to all homeowners.

It was noted that we are over budget by $15,000.00. A difficult winter with much damage and the costly repair of the deck at the Community Center were noted. The mortgage on the Community Center is scheduled to be paid off in four years. Motion to accept the 2018-2019 proposed budget was made, seconded and accepted by a unanimous vote. D.F.Richard announced the price of propane for 2018-2019 season is fixed at $1.95/gal.including senior discount price through April 30, 2019. Any number of gallons paid in advance of July 31, 2018 they will offer a $0.10/ gal. discount making the delivered price of $1.85/gal. Details of letter posted.

We are honoring our two retiring Board volunteers at this annual meeting. They have dedicated countless hours of their time and expertise to our community . Presentation of a card and a lovely oil painting, a work of art by our resident artist, Eileen Robert to thank Anita Haskell and Sally Hudgins for their many years of volunteering as Treasurer and Secretary from the homeowners of Spring Pond Estates.

Board elections of President, Geraldine Rainforth, Vice President, Beth Kaplan and Board volunteers Eleanor Rotsko, Secretary and Joe Strazzere, Treasurer was held at the June 11, 2018 Board meeting. Document on file.

Gerry Rainforth has formed an Ad-Hoc committee for one year to investigate how to best handle the huge infestation of chipmunks that have invaded our community.

Homeowners Input: Concern regarding enough notices posted after Mainly Grass has treated lawns.

June Board Meeting Minutes

June Board Meeting
June 11, 2018


The monthly Board meeting was called to order by Gerry Rainforth, President.
Jane Laughton not present, all other members were present.

Secretary's Report
Secretary's report had been previously given to all Board members. Motion to accept with no corrections or additions was made by Beth Kaplan and seconded by Nancy Winograd.
Passed 4-0 (report on file)

Treasurer's Report
Treasurers report was presented by Anita Haskell. All reports are on file. The proposed budget for 2018-2019 will be presented for approval by members of the association at the annual Meeting, June 12, 2018. Motion to accept was made by Beth Kaplan and seconded by Frank McClellan. Passed 4-0

Committee reports:
All committee reports were waived as they will be presented at the annual meeting. Motion was made and accepted to waive all reports at this meeting and will be presented at the annual meeting tomorrow night on June 12. 2018

Old Business:
Libby-Scott Paving is scheduled to come on June 15 (Friday and if needed will finish on
Saturday) to repair the three driveways previously inspected at 8 Spring Pond Circle, 28 Spring Pond Circle and 16 Ruch Lane.

New Business:
Election of President- Motion made by Beth Kaplan and seconded by Nancy Winograd to elect Gerry Rainforth. President. Vote was unanimous in favor.

Election of Vice President-Motion made by Nancy Winograd and seconded by Gerry Rainforth to elect Beth Kaplan, Vice-President. Vote was unanimous in favor.

Motion made by Nancy Winograd and seconded by Beth Kaplan to appoint Joe Strazzere, Treasurer. Vote was unanimous in favor.

Motion made by Beth Kaplan and seconded by Frank McClellan to appoint Eleanor Rotsko, Secretary. Vote was unanimous in favor.

The Treasurer and Secretary positions are non-voting members of the Board.

Without a quorum, we are unable to review and vote our acceptance for the 2018-2019 budget.

(If you are unable to attend, please get the paperwork regarding filing a proxy vote which will be found in the Community Center on the table inside the door and be sure to fill it out and give it to Sally Hudgins, Secretary before the annual meeting.)

May Board Meeting Minutes

MAY 14, 2018


The monthly Board meeting was called to order by Gerry Rainforth, President.  All members were present.

Secretary's report had previously been given to all members.  Motion to accept March minutes with addendum was made by Nancy Winograd and seconded by Beth Kaplan.   Passed 5-0.

Anita Haskell, Treasurer reviewed the monthly financial report and reviewed the 2018 end of year projected budget.  We are currently $14,000.00 over budget.

The Board would like to have the “Winter/Spring” snow removal and clean up calculations included in the packet given out to all homeowners at the annual meeting in June.  Motion to accept was made by Beth Kaplan and seconded by Frank McClellan. Passed 5-0 (all reports on file).

Architecture Committee 
Beth Kaplan reported for Diane Kaplan, Chairman that the homeowners at 8 Spring Pond Circle requested a storage bin for their deck and also to use pavers for their grill.  No paperwork was required.
 
By Laws/Covenants Committee

Election Committee
Janice Schlapak has distributed the election ballots to the SPE Home Owners, Ballots will be tallied on Friday, May 25, 2018.

Landscaping Committee
Gerry Rainforth, Chairman met with John Patten on December 13, 2017 to discuss the best way to handle our overgrown bushes, trees and specifically the Arborvitae. (Report on file).

A motion was made by Janice Schlapak and seconded by Dolores Corradino request that the Board of Directors adopt the suggested strategy of trimming the Arborvitae every two years after reducing the height one to two feet.

The Landscaping Committee vote was unanimous to accept this proposal. (Report on file)

This report was presented and discussed at the May Board meeting and the Board vote was unanimous to accept this proposal.

Maintenance Committee
Lee Page, Chairman, and Gerry Rainforth met with RCH Paving and Libby-Scott Paving for bids regarding the areas that have been identified to be repaired. Bids are on file and the decision to hire Libby-Scott to complete this work in May.

The homeowners at 7 and 9 Ruch Lane have requested the Boards approval to seal these driveways at the owners' expense.  Motion to approve this request was made by Beth Kaplan and seconded by Nancy Winograd. Passed 5-0 (requests on file)

Social Committee
Nancy Winograd, Chairman reported a “lunch” out was enjoyed recently with homeowners at the Holy Grail.  Also, the Annual “pot-luck” Memorial Day get together will be held on Monday, May 28, 2018 at 6:30 pm.

New Business
There was extensive discussion on the importance of maintaining a quorum at the June 12th annual meeting.  This is a legitimate concern in as much as any item on the agenda that is brought before the Board, including the budget, cannot be voted on and or passed without a proper quorum.

In an attempt to make the voting process more convenient to members of the Association, the Secretary is providing proxy ballots for those who are unable to attend the meeting in person .
 
Several members of the Board also offered their help in generating attendance by making phone calls reminding homeowners of the upcoming meeting.

Motion to adjourn was made by Beth Kaplan and seconded by Nancy Winograd.

April Board Meeting Minutes

Monthly Board Meeting
April 9, 2018

The monthly Board meeting was called to order by Gerry Rainforth, President.
Jane Laughton and Frank McClellan were not present, other members were present.

Secretary's Report
Secretaries report had been given to all members previous to this meeting. Please review the addendum at the end of this report. No motion made at this time. (report on file)

Treasurer's Report
Anita Haskell, Treasurer gave her financial report to all members present and gave an explanation of all line items and the current financial situation. Motion to accept made by Beth Kaplan and seconded by Nancy Winograd. Passed 3-0 (Report on file)

Election Committee
There are two openings on the Board for the coming year, years. Jane Laughton and Gerry Rainforth’s terms are expiring this June. Janice Schlapak, Chairman has submitted a letter to all homeowners notifying them of the openings for the next year (2018-2019) and asking anyone interested to notify her.

Landscaping Committee
Gerry Rainforth, Chairman will be having a meeting of her committee to address all issues that are pertinent to our community.

Mainly Grass is scheduled to begin their “spring” work. Proscape is scheduling a day to begin their check of the irrigation system.

Long-range Planning Committee
No activity

Maintenance Committee
Lee Page reported that the bulbs at the Spring Pond Estates sign have been needing replacement more frequently and will investigate if there is a better bulb.

He explained that the company who completed the filling in of the cracks in the roadways and driveways have recommended sealing these areas. No decision at this time.

Plowing Committee
Sally Hudgins will recommend that before next winter, a meeting with John Patten should be planned to address this past winter. It was a very difficult winter and they did a great job, but open communication would be beneficial.

Social Committee
Nancy Winograd, Chairman reported a lunch was held at The Holy Grail and was enjoyed and attended by some of our friends.

Joe Strazzere will be our new Treasurer replacing Anita Haskell who is “retiring”. Everyone, please welcome Joe to our Board.

ADDENDUM:

Beth Kaplan stated that no changes will be made to the By-laws at this point.  She will solicit additional homeowners to join the committee following the annual meeting.

Also discussed:
*The Board discussed the importance of having regular open community discussion sessions during the committee deliberating process; and, the importance of ascertaining what the legal fees will be before contracting with counsel.

Spring Pond Homeowners Association
Monthly Board Meeting
March 12, 2018



The Monthly Board meeting was called to order by Gerry Rainforth, President.
Frank McClellan was absent, all other members were present.

Secretaries report had been given previously to all Board members. Motion to accept the December minutes was made by Nancy Winograd and seconded by Beth Kaplan.  Passed 4-0 (report on file)

Anita Haskell, Treasurer gave an in-depth explanation of the current financial situation and also a study that she had done to explain what financial issues have been addressed in the last few years. (These complete reports are on file). Motion to accept was made by Beth Kaplan and seconded by Beth Kaplan. (Passed 4-0)

Architecture Committee
No activity.

By-Laws Committee
Beth Kaplan reported that her committee will re-address these documents after soliciting legal advice on all issues and then reporting to the Board. She was encouraged to have a larger committee and to have open discussion/discussions with the Community prior to the 2018/2019 Annual meeting in a June.

Election Committee
No activity.

Landscaping Committee
Nancy Winograd reported that her Birch tree (19 Ruch Lane) had been uprooted during the last storm. Gerry Rainforth reported that she had been in touch with John Patten and he will take care of all the problematic trees after our last storm.

Gerry Rainforth met with John Patten and his son in December, regarding the overgrown ArborVitae in our neighborhood. John felt that the solution would be to take a foot or two off these trees. This  will be discussed with the Landscaping committee in the spring. (Report on file)

Gerry Rainforth also met with Don Barry from Mainly Grass and discussed our concerns regarding our Landscaping. (Report on file)

Long-range Planning Committee
No activity.

Maintenance Committee
Lee Page installed stair treads on the ramp to the storage unit after doing some repair work. He also replaced some light bulbs, stabilized the plastic shield next to the mailboxes, had the furnace cleaned and compiled a list of things needing attention that have resulted from winter damage. Social Committee
Nancy Winograd announced that a sign up sheet had been posted for any resident that would like to go to the Holy Grail for lunch on March 22nd.

Plowing Committee
Jane Laughton stated this has been a very busy period with three Northeast storms in two weeks.

There continues to be issues regarding the cleaning paths to the gas tanks. Jane Laughton had made very definitive maps for the men to follow, however, the same men don’t come every storm. It has been suggested that either the end of this winter or before next year, we try to clarify these issues with John Patten or whomever is in charge of these duties and other related problems.

Old Business
Anita Haskell announced that after many years of serving as Treasurer and Chief Financial Officer of SPEHOA, she would like to be relieved of her official duties by June 2018, Annual Meeting. Anita is willing to train and/or help her replacement, but MUST be replaced by June 2019.

Also, after many years, Sally Hudgins, Secretary is stepping down at this years Annual Meeting. Sally Indicated that she would be most willing to assist and train a new volunteer.

New Business
Beth Kaplan presented a formal request to the Board for driveway leveling and re-surfacing at 28 Spring Pond Circle. This request is on file and signed by Diane Kaplan and Beth Kaplan owners of this property.
