November Board Meeting Minutes

Spring Pond Estates Homeowners Association
Monthly Board Meeting

November 11, 2019


President Gerry Rainforth called the meeting to order at 6:20 PM with all Board Members in attendance.

Recording Secretary El Rotsko asked if there were any questions or revisions regarding the October minutes, including the three-item addendum.  A motion was made to accept the minutes by Sally LeMon and seconded by Sally Hudgins. Motion passed (Minutes on file).

Treasurer Strazzere reported the expenses for the month of October were significantly under budget partially due to the decrease in lawn, ground and tree services. He also noted that Patten Lawn Care Services would be increasing their plowing fees an additional $5.00 for any account older than 2018.
A motion was made by Sally Hudgins and seconded by Jane Laughton to accept the Treasurer’s Report. Motion passed (Report on file).

Architecture Committee Chairperson Sally LeMon noted the homeowners located at 6 Ruch Lane have begun scheduling construction regarding the expansion of their driveway.

By-Laws & Covenants Committee Chairperson Sally Hudgins reported the committee has met twice thus far and that the next meeting has been scheduled for December 1st.

Landscaping Committee Chairperson Sally LeMon reported the Fall clean-up will begin in the near future.  She also noted the Association plans to renew the annual contract with Mainely Grass for another year.

Maintenance Committee Chairperson Lee Page reported he had replaced the bulbs around the Spring Pond Estate sign. He also noted the exterior faucets at the Community Center have been shut down for the Winter season.

Plowing Committee Chairperson Jane Laughton noted the sand barrels are in the process of being delivered and to notify her if anyone else in need of one.

Social Committee member Gerry Rainforth reported on behalf of Chairperson Nancy Winograd that the Annual Holiday Party will be on December 15th with additional details to follow.

Under Old Business Sally Hudgins reported, with the Board’s approval, she would like to continue maintaining the Homeowner’s Emergency Contact List.  She noted this information would be kept in a secure location at the Community Center and that she would be willing to volunteer her time to review the list and make any necessary revisions. The Board was in full agreement.

Also, under Old Business, responsibility for maintaining the two drainage outlets on Styles Lane was discussed at our October Board Meeting.

Sally LeMon reported at this Board Meeting that the Town of York (as per our Documents) is responsible for the care of these two drains. In early Spring we will be in touch with the Department of Public Works to discuss this issue.

Under New Business Sally Hudgins noted she had been contacted by a Bayberry resident regarding some tree work that had been done in the area between Bayberry and Spring Pond Estates and that that boundary locations for each complex may have to be addressed. After some discussion it was suggested that, if in the future a specific issue does arise, the Association will contact the Registry of Deeds and review the existing records on file with the Town of York.

President Gerry Rainforth noted the monthly Board meetings will be suspended until March but added the Board would still be available to meet if need be.
