April Board Meeting Minutes

                                 SPEHOA APRIL 12, 2021 BOARD OF DIRECTORS MEETING

PRESIDENT - President Sally LeMon called the meeting to order at 6:30 PM with all Board Members in attendance.

RECORDING SECRETARY - Recording Secretary Rotsko reviewed two addendums that were added to the March minutes under the Landscaping and Old Business categories. Vice President Sally Hudgins made a motion to accept the minutes as written, seconded by Board Member Lee Page. Motion passed unanimously. (Minutes on file for review).

TREASURER - Treasurer Joe Strazzere reviewed the March budget noting that we were in fact over budget due to bills related to storm clean-up and maintenance.  He also reported that the final contract for the new sprinkler system services with Rainmaker Irrigation came under the original estimated quote. Motion to accept the Treasurer’s report was made by Vice President Sally Hudgins, seconded by Board Member Lee Page. Motion passed unanimously. (Treasurer’s Report on file for review).

BY-LAWS/COVENANTS - Chairperson Sally Hudgins reported the committee has been diligently meeting on a weekly basis, hours on end, reviewing the By-Laws and Covenants. She hopes to present a worksheet to the Board identifying important issues and any changes in wording by the May Board meeting for their review.

LANDSCAPING - Chairperson Sally LeMon noted we have a completed contract with Rainmaker Irrigation System and that they will begin their first phase of service on May 10th. She again thanked the search committee members, Lee Page, Bob Milbury and Joe Strazzere for their help with finding a new irrigation company.

MAINTENANCE - Chairperson Lee Page discussed numerous repairs that have been completed by the maintenance committee.  There were six issues addressed and several repairs were related to wind storm damage. Specific details of the completed work are on file for review.

SOCIAL - Chairperson Deb Strazzere suggested the committee put together and outdoor plant swap, basically bring some take some. A tentative date is scheduled for Saturday, June 5th from  11:00 AM to 3 PM outside the Community Center. A notice will be posted at the clubhouse upon confirmation.

Motion to adjourn was made by Sally Hudgins, seconded by Joe Strazzere. Meeting adjourned at 7:10 PM.

Spring Pond Estates Homeowners Association Board Candidates

The two year terms of Sally Hudgins, Sally LeMon, and Joe Strazzere end in June, 2021.

Nominations are now open to members who would like to serve on the Board of Directors. Three positions are available.

If you are interested, please contact Janice Schlapak, Chairman of the Election Committee at 207-363-6606, or forward a statement of intent to Janice at 4 Ruch Lane, York, ME 03909. If you wish, you may include a brief biography along with the reasons why you wish to be elected to the Board. Provide this information to Janice on or before May 1, 2021. All candidates' names will be placed on the ballot for election.

Ballots will be handed out or mailed to residents by Friday, May 7 and must be returned to Janice Schlapak no later than Wednesday, May 20, 2021.

Ballots will be counted on Friday, May 21, 2021.

Special Board Meeting Minutes

SPEHOA SPECIAL BOARD OF DIRECTORS MEETING 

APRIL 5, 2021


President Sally LeMon called the meeting to order at 6:30 PM stating that this special meeting was necessitated due to Proscape Irrigation withdrawing their services for Spring Pond Estates. She noted that the purpose of this meeting was to determine which new irrigation company would best serve our particular needs.

President LeMon thanked Lee Page and Bob Milbury for their efforts in compiling a list of potential prospects and for their detailed findings after thoroughly researching several different irrigation companies. 

Lee Page presented to the Board the pros and cons of each company and after some discussion the Board reached a final consensus. It was concluded that Rainmaker Irrigation Company, a local business in York, would be our best option at this time.

A motion was made by Joe Strazzere, seconded by Sally LeMon to retain the services of Rainmaker Irrigation for one year with the stipulation that we would have the option to review their performance at the end of the year, determining at that time whether or not to renew their contract. Motion pass unanimously.

New Sprinkler Contract

The Spring Pond Homeowners Association Board of Directors has approved:

Rainmaker Irrigation

1132 US Route 1, Box 12

York, ME 03909

to do the irrigation services for the Community Center and Common Areas.

Homeowners with sprinkler systems will be contacted and provided a contract with a 10% early signing discount.

Monthly Board Meetings are held in the Community Center on the second Monday of each month at 6:30 PM.

The next meeting is Monday, April 12, 2021.

As always, all homeowners are welcome to attend. In compliance with COVID-19 regulations, social distancing will be observed and face coverings will be required.
